The RPS Department oversees the talent acquisition process, manages the promotion lifecycle and ensures smooth employee exits through effective separation practices. The role ensures compliance with institutional policies, legal frameworks and best practices in all three operational areas.
The Department works closely with Heads of Units to ensure promotion requirements, procedures and timelines are met and gather insights to improve retention strategies through exit interviews.
The RPS team remains dedicated to delivering excellent services to our cherished staff and clients as we work together to transform the HR ecosystem and contribute meaningfully to the University's success.

Overview
The Recruitment, Promotion and Separation (RPS) Department is a core human resource function that oversees the talent acquisition process, manages the promotion lifecycle and ensures smooth employee exits through effective separation practices. The role ensures compliance with institutional policies, legal frameworks and best practices in all the three operational areas – Recruitment, Promotion and Separation.
Core Functions and Responsibilities
1. Recruitment
- Develop and implement recruitment strategies to attract high-caliber talent for academic and non-academic roles.
- Collaborate with departments to identify staffing needs, staff establishment and develop job descriptions.
- Coordinate the recruitment process for all categories of employees, including advertising, shortlisting, interviewing and selection.
- Maintain a robust applicant tracking system to ensure a seamless recruitment process.
- Ensure compliance with employment regulations, university policies and equal opportunity guidelines.
- Maintain a database of potential candidates for talent pooling.
Liaise with the National Service Authority for national service personnel
2. Promotion
- Advise Heads of Units on promotion requirements, procedures and timelines.
- Review and verify the completeness of promotion applications for consideration of the appropriate Board or Committee.
- Guide employees on promotion criteria and career development opportunities.
- Coordinate the scheduling of promotion Board/Committee meetings and ensure confidentiality in deliberations.
- Communicate Board/Committee decisions on promotion to relevant stakeholders through the drafting of letters for the approval of the Registrar or the Director of Human Resources, as the case may be.
3. Separation
- Oversee employee separation processes, including resignations, retirements, vacation of post, death and terminations.
- Liaise with Heads of Unit to conduct exit interviews to gather insights for improving retention strategies.
- Generate data on prospective retirees for notification and computation of length of service and process their final benefits and entitlements.
- Maintain comprehensive separation records and prepare separation reports for management.
